This RFID intelligent confidential filing cabinet management system attaches encrypted RFID tags to all classified documents, drawings and confidential carriers. 

Each storage compartment inside the cabinet is equipped with dedicated RFID antennas to realize real-time automatic inventory. The cabinet supports password identity verification and power-off standby operation, and all access, borrowing and abnormal alarm data are uploaded to the centralized background platform. 

The system carries out differentiated management by document security levels, forms complete operation logs, and supports automatic statistical reports to realize closed-loop full-process supervision of confidential assets.
I. Pain Points of Confidential Document Management
1.1 Rely entirely on manual paper registration with low efficiency
Traditional confidential cabinets only adopt mechanical locks, and document borrowing, returning and inventory all require manual filling of ledgers. It takes a long time to check the actual quantity of files, and manual recording is prone to missing entries, errors and inconsistent accounts with physical documents.

1.2 Lack of real-time on-site monitoring & abnormal early warning
Ordinary storage cabinets cannot automatically identify missing files. If documents are taken out without approval or the cabinet door is pried open, managers cannot receive timely reminders, leading to high risks of confidential information leakage and document loss.

1.3 Undifferentiated management for different security levels
All confidential files adopt the same borrowing process without classified control. Top-secret documents lack mandatory application-approval-restricted return mechanisms, and overtime unreturned files cannot be automatically alerted after working hours.

1.4 No full traceable operation archives
All access and borrowing records rely on handwritten records, which are easy to alter or lose. Once document leakage or loss occurs, it is impossible to quickly trace the responsible person and operation time for accountability.

1.5 Risk of system failure caused by power outage
Conventional intelligent cabinets stop working once power is cut off, unable to record cabinet status and document changes, resulting in blank monitoring data during power failure periods.

1.6 Difficult centralized statistical auditing
Manual sorting of borrowing logs, alarm records and inventory data takes a great deal of administrative labor, and standardized audit reports cannot be generated automatically to meet confidentiality inspection requirements.
II. Solution Overview
2.1 One-to-one encrypted RFID binding for confidential carriers
Write unique encrypted ID, security level and file metadata into passive RFID tags for each confidential document, drawing, storage medium and key. Tags are bound to the whole lifecycle of confidential items to form exclusive digital identity certificates.

2.2 Built-in compartment antenna for real-time automatic inventory
Each storage grid inside the cabinet is equipped with independent RFID antennas, which automatically identify all internal file tags in real time, instantly mark missing or misplaced documents, and synchronize inventory data to the central management platform.

2.3 Graded time-sharing differential supervision mechanism
Set independent control rules for top-secret, confidential and general documents. Top-secret files require complete application, approval and return procedures; ordinary files are only allowed to be taken out within specified working hours, and the system triggers automatic overtime alarms after the time limit.

2.4 Multi-dimensional abnormal alarm & full traceable logs
The cabinet supports password identity authentication for door opening. Abnormal states such as unauthorized opening, overdue files and power failure will trigger system alerts and push notifications to administrators. All door opening, borrowing and inventory behaviors are permanently stored as traceable electronic logs.

2.5 Built-in backup power for uninterrupted monitoring
The cabinet is equipped with independent built-in batteries for the controller and door lock module. It can maintain tag identification, state recording and alarm functions during mains power failure without data loss.

2.6 Centralized background platform with automatic report output
The unified management terminal realizes maintenance of user permissions, cabinet information and security level standards. It automatically generates inventory statistics, borrowing records and abnormal alarm reports, supporting one-click export to facilitate regular confidentiality audits and supervision.
