This HF RFID contactless conference sign-in system distributes encrypted RFID badges to all participants before events.
Wide-body RFID access gates are installed at venue entrances and exits, supporting batch rapid identification without manual card swiping.
The background management platform automatically captures entry & exit records, identifies passing directions, triggers illegal access alarms, and generates real-time attendance statistics, realizing unmanned, high-efficiency and secure whole-process conference personnel management, which can also be extended to exhibition visitor flow statistics.
I. Pain Points of Traditional Conference Check-in
1.1 Extremely low check-in efficiency and easy crowd congestion
Manual signature, ID verification and single-card swiping all require participants to stop for operation. Massive crowds at peak hours cause long queues, damaging participant experience and event image. Conventional card readers only support single-person recognition with slow passing speed.
1.2 Poor identity verification & high risk of proxy sign-in
Paper tickets, ordinary IC cards and QR codes are easy to be lent or copied. There is no real-time image comparison function, so staff cannot effectively identify substitute attendance and unauthorized personnel sneaking into the venue.
1.3 Incomplete personnel movement tracking
Traditional tools only record one-time entry records, unable to automatically judge entry/exit directions, count real-time on-site attendance, or track late leave and temporary exit status. Manual post-statistics cost massive manpower.
1.4 Disconnected offline and online data
Ordinary sign-in terminals can only work under stable network. Once the network is disconnected, all on-site records will be lost without automatic offline cache and supplementary upload mechanism.
1.5 Single function without extended exhibition capability
Common check-in tools only support simple attendance recording, unable to collect visitor dwell duration and passenger flow data for each booth during exhibitions, lacking marketing data support for exhibitors.
1.6 Cumbersome post-event data sorting
All attendance, late and absence records rely on manual collation. It is impossible to automatically generate classified statistical reports for different attendee groups, increasing post-event administrative workload.
II. Solution Overview
2.1 One-to-one encrypted binding of participant identity badges
Complete batch or single RFID badge encoding before the event, writing unique encrypted ID, personal information, photo and access authority into each tag. Badges are worn on participants’ chests for long-distance passive identification without taking out for scanning.
2.2 Wide-channel batch automatic identification access gates
Deploy wide-format RFID sensing passages at venue entrances/exits with a maximum width of 3 meters, supporting simultaneous reading of dozens of tags at a speed up to 100 persons per second. Participants walk normally without stopping to finish automatic sign-in.
2.3 Dual anti-counterfeiting & anti-tailing alarm mechanism
The system links camera equipment to capture images when uncarded personnel or tailgaters pass, triggering sound-light alarms. It restricts one card for one person to thoroughly prevent proxy attendance and illegal venue access.
2.4 Bidirectional direction recognition & real-time attendance statistics
Built-in infrared sensing modules automatically distinguish entry and exit trajectories, dynamically update the number of people present in real time, and display participant information on large screens synchronously for on-site viewing.
2.5 Offline caching + automatic data synchronization
All sign-in records are locally stored on terminal devices when the network fails; data will be automatically uploaded to the central server once the network recovers, ensuring zero loss of attendance data without manual re-entry.
2.6 Multi-scene expandable data analysis platform
The background system automatically generates attendance, late, absence and seat occupancy reports, and supports extended deployment of RFID readers at exhibition booths to collect visitor stay time and passenger flow data, providing complete data basis for event operation and exhibitor marketing.
